Recital Hall Reservation Policy

Recitals are only available for members in good standing who have signed a Recital Hall Rental Agreement.

If your recital request shows up on the Recital Hall Reservation Calendar, then your recital has been pre-approved.

A requested and pre-approved recital time slot is only held if the teacher mails in a signed contract and payment check for the rental within 7 days after the pre-approval; otherwise the time slot will become available.

A. To reserve the recital hall between 2/1/2013 - 6/30/2013:

For San Mateo Branch Active Members: Reservations open Saturday, September 1st, 2012.
For San Mateo Branch Contributory Members: Reservations open Saturday September 15th, 2012.

B. Reservations, Incorrect Bookings, and Changes:

All reservations and payment must be completed by Saturday, September 29th, 2012. If payment is not received by September 29th, 2012 the reservation will be canceled. No Exceptions! You must email or call me by September 29th in order for me to make any changes. This includes canceling your event, switching to a different time, adding more time to your event, or requesting a microphone or tables for your event.

C. Rental Fee: $70/hour. Half hour fee: $35.

Saturday and Sunday rentals require a minimum of 3 hours. Friday rentals require a minimum of 2 hours. Please consider any set up or clean up time into your reservations. For example, if you need at least half an hour to set up before your recital, please reserve the extra half hour. You may share your hours with another member to fulfill the 3-hour minimum requirement.

For MTAC members belonging to another branch (not San Mateo Branch), a $100 deposit is due upon signing the rental hall contract. Please make a separate check payable to MTAC San Mateo Branch in addition to your reservation fee for the rental hall. Deposits will be returned to the teacher if there is no damage to the Wind Room facility. Please allow two weeks for processing refunds.

D. Peak season booking limits:

If you wish to book the hall during the above months, booking is limited to 3 hours maximum for each member who reserves prior to September 29th, 2012. However, members who give joint recitals may extend their hours. Please note that this limitation only applies to Fall Peak Season bookings that are made before September 29th, 2012.

E. Additional Requests:

Members may send additional requests for any Friday evenings, Saturdays, or Sundays after October 2nd, 2012 for February 1st - June 30th, 2013. Additional requests on Saturday and Sunday bookings require a minimum of 3 hours. Friday evening bookings require a minimum of 2 hours. Additional requests must be received by the 15th of the prior month in order to confirm availability. For example, if you want to reserve a Saturday three-hour slot in March, you must submit your request by February 15th. Yvonne Ho-Massey will contact Foster City to check for any available times and dates.

F. Maximum number of chairs allowed in the Wind Room: 100 chairs

G. Fixed Seating Arrangement:

The pianos and chairs will be arranged to face East Hillsdale Blvd in a theater style. Members are not permitted to change the hall's seating arrangement set up for the day's event. No exceptions.

H. Piano String Covers:

The string covers are to keep moisture out of the piano. They need to stay in the pianos at all times. It is OK to fold back the part under the music rack to improve the sound. The string cover only dampens the sound about 2% and is not noticeable. Please do not remove the covers because you believe they muffle the tone. Any wind room user who misplaces the string covers will be responsible for the cost of the covers.
